Overview:
We are a thriving psychology clinic in Calgary seeking a dedicated and detail-oriented Clinic Manager to oversee the day-to-day operations of our practice. At McAtee Psychology, we are committed to helping individuals and their families move toward a richer, more connected, and meaningful life.

We provide high-quality counseling, assessment, and consultation services tailored to individuals of all ages. As Clinic Manager, you will play a vital role in ensuring the seamless operation of our practice while fostering a welcoming, supportive, and professional environment for our clients and team.
Qualifications and Skill Requirements
- At least 3-5 years of administrative or management experience, preferably in a healthcare or counselling setting.
- Post-secondary education in Business Administration, Healthcare Administration, Psychology, Social Work or a related field (preferred). Equivalent experience will be considered.
- Leadership and Team Management: Proven ability to supervise and motivate staff, foster collaboration, and resolve conflicts effectively.
- Communication Skills: Exceptional verbal and written communication abilities to effectively convey information, foster understanding, and build strong relationships with team members, clients, and external partners.
- Strategic Thinking: Strong skills in identifying growth opportunities, analyzing caseload trends, and implementing strategies to build and sustain clinic operations.
- Problem-Solving Abilities: A proactive approach to addressing operational challenges, improving workflows, and enhancing client experiences.
- Technical Proficiency: Familiarity or interest in using clinic management software to manage the clinic (e.g., Jane App), Microsoft Office Suite, and Google Workspace.
- Marketing and Outreach: Experience or familiarity with promoting services through community engagement, social media, or other marketing strategies (preferred).
Key Responsibilities
- Act as a leader and primary contact for team members, providing guidance, resolving conflicts, and fostering a positive team culture.
- Collaborate with the Director and team to develop and implement strategies to build and maintain caseloads, support clinic growth, and identify new service opportunities.
- Oversee daily clinic operations, including scheduling, client intake, billing processes, and administrative workflows, to ensure efficiency and high-quality service delivery.
- Supervise, mentor, and support administrative staff, fostering a collaborative and productive work environment.
- Develop, implement, and maintain policies and procedures aligned with the College of Alberta Psychologists (CAP), as well as legal, ethical, and organizational standards.
- Assist the Director with task delegation to clinical, marketing, accounting, and third-party collaborators involved in the clinic’s operations and development.
- Participate in strategic planning, including organizational goal-setting, defining service offerings, targeting populations, and consulting on staffing, billing, hiring, and compensation decisions.
- Manage the hiring, onboarding, and training of administrative staff and contractors to build a high-performing team.
- Support marketing initiatives, including social media management and community outreach, to enhance the clinic’s visibility and attract new clients.
