Full Time Office Manager – 1 Year Maternity Leave

Clarity Psychology is a psychology practice that is committed to offering high-quality care to clients in Edmonton and the surrounding communities.  Clarity Psychology specializes in both counselling and psychological assessment services. (


We are looking for a Full Time Office Manager (1 year maternity leave) to oversee the daily operations of our clinic.  The Office Manager is responsible for handling all client inquiries and referrals, scheduling, bookkeeping, invoicing, supply ordering and distributing, and social media.  Additionally, the Office Manager can assist with some clinical tasks, including technical writing and researching.  We are searching for a candidate with exceptional organizational, time management, and interpersonal skills


Closing Date: February 16, 2024, 4:30 PM

Start Date: April 1, Negotiable

Salary Range: $20-24/hour; based on experience

Hours: M-F, 8:00 AM – 4:30 PM

Job Responsibilities/Focus:

  • Responding to phone, internet chat, and email inquiries from potential clients seeking counselling and psychological assessment services 
  • Managing client appointment bookings and rescheduling 
  • Coordinating contracted psychological assessments with other stakeholders (e.g., schools; government agencies), including scheduling, paperwork completion, invoicing, and essential communication
  • Managing an electronic record management system (JANE) and keeping client files up to date
  • Tracking, ordering, and stocking all clinic supplies 
  • Invoicing clients and stakeholders, processing payments, monthly reconciliation
  • Completing direct deposit payroll processing for contractors 
  • Assisting with technical psychological assessment report writing and general research (e.g., literature searches)
  • Overseeing Facebook and Instagram social media campaigns 


Required Qualifications:

  • High school diploma
  • Current Criminal Record Check with Vulnerable Sector Check
  • Minimum of two years experience in office administration


Recommended Qualifications:

  • Diploma in office administration and/or undergraduate degree in psychology or a social science field
  • Proficiency in MS Word, DocuSign, MS Excel, Adobe, Quickbooks, Jane, GSuite

Job Type:

  • One year contract expiring May 15, 2025 with the possibility of extension.
