Position: Administrative Assistant – Psychology Practice
Description of Role
Tandem Psychology is seeking a detail-oriented, organized, and dependable Intake & Administrative Assistant position to support the daily operations of our child- and family-focused psychology practice. This role involves managing a range of administrative responsibilities to help ensure a smooth and supportive client experience and efficient clinic functioning. This is a hybrid position, meaning some hours can be completely remotely and some on-site, depending on clinic needs.
The ideal candidate is professional, tech-savvy, and comfortable working independently within a small and supportive team. This is a part-time contractor position, with flexible hours depending on clinic needs.

Key Responsibilities

- Responding to client inquiries and managing new client intake
- Booking and confirming appointments in our Jane client management platform
- Managing clinician calendars and availability
- Invoicing, payment processing, and insurance/benefits submissions
- Organizing and maintaining secure client files (digital and/or paper)
- Supporting clinicians with document formatting, forms, and correspondence
- Communicating clearly and respectfully with clients and families
- Managing general clinic email and phone communication
- Other administrative tasks as needed to support smooth clinic operations
Qualifications
- Prior administrative experience (experience in a healthcare or mental health setting is an asset)
- Competence using Jane Practice Management Software is required
- Excellent written and verbal communication skills
- Strong attention to detail and organization, with high ethical and personal integrity
- Comfort with technology (email platforms, scheduling systems, digital file management system)
- Familiarity with privacy and record-keeping standards and confidentiality requirements as related to a psychological practice
- Ability to work independently along with being an excellent team player, and manage multiple tasks with professionalism
- A warm, caring, approachable, and client-focused demeanor
- Must be legally eligible to work in Canada and able to sign a confidentiality agreement
- Interested in year-round work, not just summer employment
