Join the PAA team: Member Engagement Officer

Our small but mighty team is looking for our next Member Engagement Officer.

As a member services representative for the Psychologists’ Association of Alberta (PAA), you will play a crucial role in enhancing the member experience by providing exceptional customer service and support. You will be responsible for addressing member inquiries, resolving issues, and ensuring that all members feel valued and informed about our services. This position requires strong communication skills, a proactive approach to problem-solving, and the ability to work collaboratively within a team.

Job type: Full-time.

Work schedule & location: Monday to Friday (weekends as needed), in person.

Job Summary:

Coordinate with Membership Services Officer to ensure effective and expeditious:

  • Membership recruitment, retention, and coordination.
  • To administer all membership applications/renewals including the processing of membership payments and related correspondence.
  • To be the main liaison contact for internal and external stakeholders on the CRM database.
  • Membership financial reconciliation, reporting, and credit control (outstanding payments and refunds).
  • Develop a thorough knowledge of the CRM database system – using WooCommerce (invoicing) and WordPress (database).
  • Calculate membership fee annually and input in WooCommerce.
  • Provide regular data and statistical analysis reports to the CEO.
  • Membership communications.
  • Follow up with affinity partners about member’s benefits and update it on the website.
  • Promoting referral services and verifying the eligibility with members.
  • Follow-up with provisional member registrations with CAP and any other membership requirements to be completed.

 

Responsible for the design and implementation of a full member engagement communications plan for:

  • ECP Members
  • FULL Members
  • LIFE Members
  • Out of Province Members

 

Communities of Practice:

  • Higher Logic Platform Lead for Communities of Practice
  • Support lead for PAA Communities of Practice
  • Administrative support for the PAA Committee on Communities of Practice
  • Responsible for member engagement in PAA Collaborate

 

Disaster Response Network (DRN):

  • Responsible for opening and closing the PAA DRN on the approval of the CEO
  • Marketing plans for DRN public education & member engagement
  • Maintaining active DRN lists & Facilitating DRN referrals when active
  • Communications with DRN volunteers when active
  • Coordinating communications with the DRN coordinator (volunteer lead)

 

Volunteer Engagement:

  • Volunteer recruitment, retention, and appreciation
  • Coordinate, & report on, Psychology Month activities
  • Tracking, matching, and supporting volunteer requests for public

 

Public Service:

  • Answer incoming phone calls & check for voicemail messages regularly throughout the workday.
  • Greet & respond to the needs of guests, delivery companies and/or service technicians arriving at the PAA office.
  • Provide referral information to the public – determine the caller’s needs & provide names of psychologists in the requested field of psychological interest.
  • Assist callers with instructions on accessing referral service online on PAA website.
  • Process mail (incoming & outgoing).
  • Respond to emails throughout the day regularly.
  • Arrange & process courier packages (outgoing & incoming).
  • Change PAA office voicemail as required.
  • Process media requests in consultation with the CEO.

As a PAA Team Member:

  • Responsible to assist staff with collaborative functions
  • Assist all other staff & projects as required.
  • Other duties as assigned by the CEO and/or COO.

Education:

  • Bachelor’s Degree (preferred)
